Privacy & Trust

Your data. Our responsibility.

We follow global data privacy principles with transparent processes and explicit consent at every step of the guest journey.

What we collect

Guest information is collected only where it serves the event: name and contact details for registration and communication, a photograph where face-matched check-in or photo delivery is in use, and any category, session or dietary preference the organiser needs to run the event well.

Consent

Guests are told at the point of collection what is being collected and why. Facial data and photographs are collected on the basis of explicit, informed consent, and a guest can decline face recognition and still attend using a QR credential.

How it is used

Data is used to deliver the event experience — registration, entry, photo matching, personalised creatives, networking where the guest opts in, and aggregate reporting for the organiser. It is not sold, and it is not used for unrelated marketing.

Retention

Guest data and event assets are held for the period agreed with the organiser and then deleted or returned. Face templates used for matching are removed at the end of the retention window.

Access and control

Guests can request access to the data held about them, ask for corrections, or ask for their data and photographs to be removed. Requests are routed through the organiser or directly to us.

Security

Access to guest data is restricted to the team working on that event, transferred over encrypted connections, and stored with the access controls set out in the engagement terms.

Sub-processors

Where third-party services support delivery — hosting, messaging, analytics — they are engaged under terms consistent with these principles and disclosed to the organiser on request.
